Who we are
ClearMyName UK is the trading name of the firm operating this website. We act as the data controller for personal data submitted through the site or shared with us as part of a case.
What we collect
- From the contact form: your name, email, phone number and the message you submit.
- During a live case: identification documents, financial correspondence, credit reports, and any other documents you choose to share.
- From your visit: standard server logs (IP address, user agent, page requested) for security and troubleshooting.
Why we hold it
To respond to your enquiry, to run your case if you become a client, to comply with our legal obligations, and to administer the business. We do not use your information for marketing.
Lawful bases
Most processing falls under contract performance (running your case) or legitimate interest (responding to enquiries, securing the website). Where we hold special category data (such as financial information disclosed during a case) we rely on explicit consent and the substantial public interest basis under the UK GDPR.
Who we share with
Only third parties that are necessary to do the work. That typically means the bank or lender on the other side of the dispute, the relevant credit bureau, the Financial Ombudsman Service, the courts, or HMRC. Each one is told only what is necessary.
We do not sell data. We do not share with marketing partners. Our email is hosted with a UK and EU based provider. Our website hosting is in the UK.
How long we hold it
Enquiry data that does not lead to a case is held for 12 months and then deleted. Live case files are held for 6 years from the close of the case, in line with regulatory and limitation period guidance, and then deleted.
Your rights
Under the UK GDPR you have the right to access, rectify, port and (in some cases) erase your data. You can exercise any of these by emailing [email protected]. We aim to respond within 14 days.
You also have the right to complain to the Information Commissioner Office at ico.org.uk. We would prefer to address concerns directly first.
Cookies
The site uses one strictly necessary cookie for the contact form CSRF protection. We do not run analytics, advertising, or tracking cookies. There is no cookie banner because there is nothing to consent to beyond the strictly necessary cookie, which is permitted under the PECR rules without consent.
Changes to this policy
If this policy changes substantively we will note the change at the top and date it. We will not retroactively reduce the protections offered for data already collected.
